How to build a useful Xero chart of accounts

Author: Michael Austin | 25 October 2026

Your Xero chart of accounts (CoA) is the DNA of your bookkeeping

Most businesses spend time choosing accounting software but very little time designing the structure that sits within it.

Yet your chart of accounts is one of the most important parts of your Xero setup. It determines how transactions are recorded, how reports are presented and how easy it is to understand the financial performance of your business.

A well-structured chart of accounts makes bookkeeping easier and management reporting more meaningful. A poorly structured chart of accounts results in cluttered reports, inconsistent coding and hours of unnecessary analysis in Excel.

Too many accountants and bookkeepers simply accept the standard Xero chart of accounts. Instead, think of it as a starting point that should be adapted to suit your business and reporting requirements.

Is your chart of accounts holding Xero back?

Your chart of accounts may need reviewing if:

If several of these sound familiar, the issue is often not Xero itself. The issue is how the chart of accounts has been structured.

Why account codes matter

Each account in Xero consists of:

Most businesses focus only on the account name.

The account code is often where the real reporting power lies.

A logical numbering structure allows related costs to be grouped together so that financial reports become easier to read and analyse.

For example:

4000-4999 Revenue

5000-5099 Payroll
5100-5199 Occupancy Costs
5200-5299 Office Costs
5300-5399 Marketing Costs

5110 Rent
5120 Rates
5130 Service Charges
5140 Cleaning
5150 Repairs & Maintenance

5310 Advertising
5320 Website Costs
5330 SEO
5340 Social Media Marketing

💡 Pro tip: These account numbers have four digits which gives you much greater flexibility compared to the three-digit codes in the standard Xero CoA.

How your chart of accounts affects management reporting

Many businesses think the chart of accounts only affects bookkeeping.

In reality, it affects every management report produced from Xero.

A good structure allows you to:

If your management accounts require significant manipulation in Excel every month, the underlying chart of accounts may be part of the problem.

Five common Xero chart of accounts mistakes

1. Too many accounts

It is easy to create a new account every time a slightly different type of cost appears.

The result is a Profit & Loss report containing dozens of very small expense categories that provide little management value.

2. Too few accounts

The opposite problem is lumping everything together.

A single “General Expenses” account rarely provides useful insight.

3. No logical numbering structure

Without a coding framework, reports often become difficult to navigate and expand.

4. Designing accounts around bookkeeping instead of reporting

The chart should be designed around what management wants to see, not simply how transactions are entered.

5. Keeping the default Xero setup forever

The standard Xero chart of accounts is a useful starting point, but it is unlikely to be the ideal structure for every business.

Should you also be using tracking categories

Tracking categories are extra dimensions that allow you to allocate transactions to profit centres, locations or projects etc.

Used in conjunction with a well-structured CoA, tracking categories will allow you to produce some very powerful and useful management information.

Frequently Asked Questions

Can I change my chart of accounts in Xero?

Yes. Account names and codes can usually be updated, although care should be taken where accounts contain historical transactions.

How many accounts should a small business have in Xero?

There is no perfect number. The objective is to provide useful reporting without creating unnecessary complexity.

Should I use account numbers in Xero?

Yes. Account numbers provide structure, improve report presentation and make it easier to expand your chart of accounts over time.

What is the best chart of accounts structure for management reporting?

Start the process by asking “what financial information do we need to run and improve the business?”

The best structure is one that reflects how management wants to analyse the business. This often means grouping related income and costs into logical sections rather than simply accepting default software settings.

Do I need tracking categories as well as a chart of accounts?

In many businesses, yes. Tracking Categories can provide analysis by department, project, location or business unit, while the chart of accounts classifies the underlying income and expenditure.

Can a better chart of accounts improve management accounts?

Absolutely. The quality of your management information is heavily influenced by the structure of your chart of accounts. Better coding generally leads to clearer, more useful reports.

“Just wanted to take this opportunity Michael to thank you for your support of our finance manager and myself in progressing this work.  It really has moved forward more quickly than we had expected and the Finance and Risk committee on Tuesday evening were impressed with the progress.”

“Michael and the Blue Dot team have been an essential part of our journey from startup through to being an established company, and we look forward to continuing working together long into the future. They have always been on hand to offer support and sound advice whenever it is needed.”

“Blue Dot have been our accountants and bookkeepers since the very beginning of our business, and have been nothing short of outstanding throughout.”

“Blue Dot Consulting went above and beyond in helping us navigate not only the transition to cloud-based accounting but also in leading our accounts team through a broader period of transformation.

Their deep understanding of our unique needs and challenges was evident from the outset. They provided unwavering support to our team, ensuring they felt confident and well-prepared for the changes ahead.”

“Thank you again for your help and training so far – it’s honestly been invaluable.”

“I’m no expert but it has been transformative the help and advice I get from Michael and his team.

Michael was fantastic. He quizzed me on how my business worked financially and was super patient with me. Explaining everything in a non-accountancy manner. He then showed me how to utilise all the less obvious tools in the program, which he continues to do, so that I can see immediately what monies held belonged to my company and what is held for clients. I now do my own VAT returns and payroll because of his help and continued support.”

“I really enjoy working with Blue Dot Consulting — they’ve helped me take control of our financial situation in a practical, no-nonsense way.

They take a common-sense approach and, most importantly, they get things done. For example, we now have weekly planning and forecasting calls, along with monthly cash flow reviews using simple, easy-to-understand spreadsheets.

Their support has made a huge difference in how we manage and plan for the future.”

“As the business owner, it can get lonely making all the decisions.  I feel I have a ‘silent FD’ that I can call, challenge and that any idea is OK to discuss, and to arrive at a sensible way forward.”

“Having someone in the room that is happy to (in a structured way) challenge the norm and not simply accept that, because things look good, we should stop looking to improve.”

“Blue Dot are uncompromisingly systematic and thorough so that you can get on with running your business.”

“Outstanding service and support. They get things done, just what you need. Recommended.”
